Information Management System of the Faculty of Science (SCI IMS)

The Information Management System of the Faculty of Science (SCI IMS) is an online platform designed to manage and support the academic and administrative activities of students and staff. It helps to organise student information and simplifies many important processes within the Faculty. 

SCI IMS is used to manage student records, course registrations, examination details, admissions, and grades. It is also used to generate final transcripts and degree certificates. This system allows students and the Faculty to access accurate information quickly and efficiently. 



Log in to the IMS

You can access the IMS using the following URL:

https://sciims.pdn.ac.lk

Enter your username, which is the same as your registration number without forward slashes (/).

Ex:  s22999, s22sp999

Then enter your password. Your initial password is the same as your NIC number.

Reset Your Account Password.

If your password does not work or if you have forgotten it, you can use the “Forgot Password” link to reset your password.


Enter your username and click the Reset Password button. Your password will be reset, and a new password will be sent to your Faculty email address (for example: s22999@sci.pdn.ac.lk).

You can then use the password sent to your email to log in to the IMS.
Please be careful when copying the password from the email. Sometimes an extra space may be included, and the password will not work if that happens.


Change/ Update Your Password

If you want to change your password, go to your Profile and update your password there.

Dashboard

After you log in to the IMS, you will see your Dashboard, which displays important notices.
Please read these notices every day. The Examination and Registration Branch will update this section with important information such as:

  • Course registration notices (Add/Drop)
  • Examination notices
  • Timetables and other academic updates

It is your responsibility to read these notices regularly and stay informed.



My Data

Under the “My Data” menu, you can view your Academic details, Personal details, Academic Advisor information, and Payment details.

If you need to correct or update your Name or NIC details, please contact the Dean’s Office.

If you want to change any of your contact details, such as your telephone number, mobile number, email address, or home address, you can update them by clicking the “Update My Profile” button.


You can also view details of your Academic Advisor in this section. If you need to contact your advisor, please make an appointment first and meet them during office hours.

 Under the Payment tab, you can view your payments such as: 

  • Registration fees
  • Semester renewal fees
  • Repeat examination fees
  • Fines and other payments

Faculty Online Payment Gateway

You must use the Faculty Online Payment Gateway to make all these payments.
Do not pay directly to the bank, because the IMS will not be able to identify your payment, and we will not be able to verify it. Therefore, it is compulsory to make all payments through the Faculty Payment Gateway.

Results/ Grade

You can check your final results in the "Final Result" section of the menu.

  • Understanding Your Final Grade: The system shows your best grade for a subject.
  • If You Repeat a Subject: If you take a subject more than once, the IMS will automatically display the highest mark you achieved. This is the grade that counts for your official record.


In the "All Grades" section, you can see your complete history for every course.

  • It shows all your course registration records.
  • For each course, you can view every attempt you have made.
  • The grade for each individual attempt is displayed here.

Tip: This is different from the "Final Result" menu. Use this section to see your full history, including all attempts, while the "Final Result" shows only your best grade for each subject.


Course Registration (Add/ Drop)

This section is where you register for your classes each semester.

Key Steps & Rules:

  1. Registration: Each semester, you must register for your courses on this page. Choose your courses based on your academic handbook.
  2. Time Period: Course registration (the "Add" period) is only open for a specific time. You must register for all your courses before the deadline.
  3. Credit Limit: The maximum total credits you can register for in an academic year is 33. You cannot exceed this limit.
  4. Drop Period: After the initial "Add" period ends, the system opens a "Drop" period.
  • During this time, if you no longer wish to take a course, you can drop it.
  • You can then register for a new course to replace the dropped one.
  • Important: The "Drop" period is only available to students who registered for at least one course during the "Add" period. If you did not register for anything initially, you cannot add courses later.

Late Registration Procedure:

If you miss the official registration deadlines, you must apply for Late Registration.

  1. Request: Write a letter addressed to the Dean of the Faculty requesting late registration.
  2. Form: Attach the Late Registration Form, which can be downloaded from the "Download Section" of the IMS.
  3. Approvals: You must get the form approved and signed by:
  • All lecturers for the courses you wish to add.
  • Your Academic Advisor.
  • The Head of your Department.

Please note that the ADD/DROP process will be completed only after obtaining permission with the approval of the Dean.

Therefore, please ensure that you do not make any payment until you receive a confirmation email from the Examination and Registration Branch stating that the Dean has approved your late registration request.

  1. Late Fee: A late registration fine must be paid online via the payment gateway.
  • Before 8 weeks from the start of the semester: LKR 1,000 per subject.
  • After 8 weeks from the start of the semester:  LKR 2,000 per subject.

(Note: Fees may change and will be updated on the payment gateway.)



  1. Your access to courses on the Learning Management System (LMS) is linked to your IMS registration.
  • Once you are successfully registered for a semester in the IMS, you will automatically be enrolled in and gain access to the corresponding courses on the LMS.
  • If you are not registered in the IMS for the current semester, you will not have access to any courses on the LMS.


On the course registration page, you will register for each of your subjects in two steps:

  1. Select the Course: First, choose the subject you wish to register for from the provided list.
  2. Select the Registration Type: Next, choose the appropriate registration type for that course from the dropdown menu. The main options are:
  • Proper: For taking the course as a standard, first-time registration.
  • Medical Proper:  For re-taking a course due to a documented medical reason. Please note: Submitting a medical request is compulsory. 
  • Repeat:  For re-taking a course to improve your grade. Please note: A fee is required for each course registered under this type.

If you wish to register the courses as Medical (Proper), you are not required to make any payment. However, if you have registered the courses as Repeat, you are required to pay Rs. 50.00 per subject via the payment gateway.

(Note: Fees may change and will be updated on the payment gateway.)

Dropped Courses

All courses you have previously dropped will also be visible and listed in this section for your reference.


Current Semester

In the "Current Semester" section, you can view a complete list of all courses you are registered for in the current semester.

This gives you a clear overview of your courses and confirms your successful registration.


Combination Selection

Subject combinations are offered under the Physical Science and Biological Science academic streams.

While students are responsible for planning their own programmes, they will be guided by Academic Counsellors and Advisors to select the correct course units for their chosen study programme.

Selection Process:

  1. Submission Period: The subject combination selection is open for a specific time period only.
  2. Make Your Choices: During this time, you must submit your 5 preferred combinations. Rank them in order, with Choice 1 being your first preference.
  3. Confirmation: After submission, you will see your submitted choices listed in red text on the page for your records.


Appeal

  • The selection panel will review all submissions and assign your final combination.
  • Once the combination is published on this page, an Appeals Period will open if you are not satisfied with the assigned combination.
  • Important: You must submit any appeal for reconsideration within the given appeals period.


Medical Requests

If you are unable to sit for a scheduled examination due to a medical issue, you must submit an official medical request through the IMS.

Important Deadlines & Process:

  1. Online Submission: You must submit your application electronically via the IMS within 7 days of the missed exam.
  2. Hard Copy Submission: After submitting online:
  • Print the completed application form.
  • Sign the printed form.
  • Attach the original/certified copy of your medical report.
  • Submit this complete hard copy to the Examination and Registration Branch.
